WhatsApp lead management: get every lead out of the group chat
How an elevator company working across four cities stopped losing leads in WhatsApp, and how the same approach works on top of a CRM.
The problem with leads in a group chat
WhatsApp is where a lot of businesses talk to their customers, and it is easy to see why leads end up there. Someone sets up a group, adds the sales team, and forwards every enquiry into it. It works while volumes are small. Then it starts to fail in predictable ways:
- Nobody owns a lead, so everyone assumes someone else replied.
- Messages scroll out of sight, and a good lead is gone by lunchtime.
- Two salespeople quote the same customer, at different prices.
- Quotes go out and nobody follows up.
- The owner can't answer simple questions: how many leads last month, from where, and what happened to them.
What happened at Kamai Elevators
Client story · Kamai Elevators
Kamai Elevators is an elevator company working across four cities. Leads from Meta ads landed in a WhatsApp group, got read out to a salesperson over the phone, and often went quiet after the quote. The founder couldn't tell how many leads came in last month or who was holding them.
On our first call, the founder set a target: 30% better operational efficiency. Since go-live the result has been 70%.
You can read the summary in the case studies on our homepage.
What we built
We put every lead from all four cities into one pipeline. It does six things.
- Automatic intake. Leads from Meta lead forms and the website arrive in the pipeline on their own. Nobody forwards or retypes anything.
- One owner per lead. Every lead is assigned to a named person, so there is never a question of who is handling it.
- Follow-ups that chase people. Reminders go to the owner when a lead needs a next step, and escalate to a manager when it is overdue.
- A check before every quote. The system flags a possible duplicate before someone quotes a customer who is already being handled.
- In-app calling with call logging. Salespeople call from the app, and each call is logged against the lead, so the history is in one place.
- A report on where leads drop off. The founder can see how many leads came in, from which source, and at which stage they were lost.
Each person gets their own view on their phone, so nobody has to be at a desk to work their leads.
CRM lead follow-up automation, if you already have a CRM
The same ideas work on top of a CRM. Plenty of businesses have one and still lose leads, because the CRM depends on people typing things in. Follow-up automation fixes the gaps:
- Leads from ads, the website and messaging channels go into the CRM automatically.
- New leads are assigned by rules you set: city, product, workload.
- Reminders fire when a lead has no next step, and escalate when it is overdue.
- Calls and messages are logged against the lead without anyone typing notes.
- A weekly view shows leads by source and the stage where they stall.
That is integration and workflow work rather than a new system. See integration services and lead generation and follow-up.
CRM or purpose-built pipeline?
If your team already uses a CRM properly, build on it. If they never did, because it was too slow on a phone or had too many fields, a simpler pipeline built around how they actually sell may get used where the CRM didn't. For Kamai, a phone-first pipeline was the right call. We'll tell you which fits on the discovery call.
Signs your business needs this
- Leads arrive in a WhatsApp group, a shared inbox or someone's personal phone.
- You can't say how many leads came in last month without counting by hand.
- Customers have been quoted twice, or not followed up at all.
- You work across several locations and each one handles leads differently.

FAQ
Common questions
Why is a WhatsApp group bad for managing leads?
A group chat has no owner per lead, no reminders and no history you can report on. Messages scroll away, two people can quote the same customer, and nobody can say how many leads came in or where they were lost.
Do we have to stop using WhatsApp to talk to customers?
No. Customers can keep messaging you the way they like. What changes is that every lead is captured in one pipeline with an owner and a next step, instead of living only in a chat.
Can this work with our existing CRM?
Yes. If you already have a CRM, Flange connects lead sources and follow-up automation to it. If your team never kept the CRM up to date, a simpler purpose-built pipeline on their phones can work better, as it did for Kamai Elevators.
What results did Kamai Elevators get?
Since go-live, Kamai Elevators has seen 70% better operational efficiency, against a 30% target the founder set on the first call with Flange. The pipeline covers four cities.
