AI automation for UK businesses: calls, leads and back-office work
AI receptionists, lead pipelines and workflow automation for UK estate agents, clinics, trades and accountancy firms. Delivered remotely, built around the tools you already use.
What we build for UK businesses
Most of the UK businesses that talk to us have the same three problems. The phone rings while everyone is busy, new enquiries wait hours for a reply, and the back office spends its week copying data between systems. Three of our services fit those problems most often.
An AI receptionist that answers every call
An AI voice agent picks up every inbound call, including evenings and weekends, answers the common questions, works out whether the caller is a real lead and books them in or passes them to a person. Every call is transcribed and logged to your CRM. It works on top of the phone system you already have, such as Aircall or CircleLoop.
It suits private clinics and dental practices whose reception desk is on the phone all morning (see AI for medical practices; it handles bookings and admin, never clinical decisions), and trades and home services firms whose engineers cannot answer while on a job (see AI for home services).
Fast lead response for estate agents and lettings
For estate and letting agents, speed to the first reply decides a lot. Portal enquiries from Rightmove and Zoopla arrive as emails, and on a busy Saturday they sit in a shared inbox while the team is out on viewings. An AI lead pipeline reads each enquiry the moment it lands, replies with the next step, offers viewing slots, creates or updates the applicant in Reapit or Alto, and gives the lead a named owner. Follow-ups are reminded and escalated, so a vendor valuation enquiry does not wait until Monday.
Our guide on AI automation for UK estate agents walks through lead response, viewing booking and follow-ups step by step.
Workflow automation for accountancy and professional services
Accountancy practices and other professional services firms lose hours to repeat work: chasing clients for records, keying bills and receipts into Xero, Sage or QuickBooks, and building the same report every month. AI workflow automation takes over the repeat steps and keeps a person on the decisions. Where the work is mostly reading documents, we use document processing AI; see how to automate invoice data entry for how that rollout works.
Client story · Kamai Elevators
Kamai Elevators, an elevator company working across four cities, had its Meta ad leads landing in a WhatsApp group. We replaced it with one lead pipeline: automatic intake, one owner per lead, escalating follow-ups, a duplicate-quote check and in-app calling. Since go-live: 70% better operational efficiency, against a 30% target set by the founder. Kamai is not a UK business; the pattern is the same.
The full story is on our WhatsApp lead management page. Swap the WhatsApp group for a shared inbox full of portal emails and it is the same problem many UK agents have.
How remote delivery works
We don't have an office in the UK. Everything runs online, and it follows the same four steps every time:
- A free 30-minute discovery call, at a time that suits you. We look at how the work moves today and where it slows down.
- A scoped proposal with what we would build, the number it should move, and the price in GBP. No obligation.
- Build around your tools. We connect to the CRM, accounts package, phone system and inbox you already use. Nothing gets ripped out. Most systems go live in 30 to 60 days, including testing and onboarding your team over video.
- Measure and tune. Live reporting against the agreed number, such as response time or hours recovered. You own the code and the data.
The work is led hands-on by our founder, Thoufic, with engineers who have built and shipped products at leading technology companies.
Time zones
Our team works from India (IST, UTC+5:30), which is four and a half hours ahead of the UK in summer and five and a half in winter. Your working day falls in our afternoon and evening, so calls, reviews and support questions happen during your normal office hours. The systems we build run around the clock; our people do not, and we won't pretend otherwise. Read more in working with a remote AI team across time zones.
Tools we connect to
We build around what you already run. In the UK that is often:
- Property: Reapit and Alto, with enquiries from Rightmove and Zoopla lead emails.
- Accounts: Xero, Sage and QuickBooks.
- CRM: HubSpot and Pipedrive.
- Phones: Aircall and CircleLoop.
If your tools are not on this list, that is normal. Our integration work starts by checking what each system lets us connect to, and we tell you on the first call if something cannot be done cleanly.
Language: English-first
Our voice agents and assistants are built English-first, which covers most UK businesses and their customers. If a share of your callers would rather speak another language, say so on the first call. We'll tell you plainly what is achievable for your use case rather than promise it up front.
Data protection in the UK
UK businesses fall under UK GDPR and the Data Protection Act 2018, regulated by the Information Commissioner's Office. The ICO keeps practical UK GDPR guidance for organisations. Marketing calls, texts and emails are also covered by the Privacy and Electronic Communications Regulations (PECR), so anything that contacts people who have not enquired needs care; see the ICO's guide to PECR. The Data (Use and Access) Act 2025, which received Royal Assent in June 2025, amends parts of this framework, including the rules on automated decision-making, with changes coming into force in stages.
Calls and chats with customers contain personal data, and clinic calls can touch health information. So we agree on the first call where data is stored, who can see transcripts and recordings, how long they are kept, and which decisions stay with a person. Our guide to scoping GDPR-compliant AI automation covers the questions to settle before a build starts. Take your own legal advice on what applies to you.

FAQ
Common questions
Does Flange have an office in the UK?
No. Flange delivers remotely. Discovery calls, build, testing and team onboarding all run online. Our team works from India, and the UK working day falls in our afternoon and evening, so we are available during your normal hours.
Can you build an AI receptionist for a UK estate agent or clinic?
Yes. Flange builds AI voice agents that answer inbound calls, handle common questions, qualify callers and book viewings or appointments, with every call logged to your CRM. Anything unusual is handed to a person with the details already captured.
Is AI automation compliant with UK GDPR?
It can be, if it is scoped properly. On the first call we agree what personal data the system touches, where it is stored, who can see transcripts and how long they are kept. UK GDPR, the Data Protection Act 2018 and PECR all apply, so take your own legal advice on your obligations.
Do you work with Reapit, Alto, Xero and Sage?
Those are common in the UK and we connect to them where they offer a way in, usually an API or a structured export. We confirm what your specific setup allows on the discovery call, before anything is priced.
How much does AI automation cost for a UK business?
Flange does not publish prices. Each project is scoped and priced in GBP after a free 30-minute discovery call, with no obligation. Cost depends mostly on how many systems it connects to, how messy the inputs are, and how much needs human review.
How long does it take to go live?
Most systems go live in 30 to 60 days, including integration with your existing tools, testing and onboarding your team over video.
