AI automation for Canadian businesses

AI receptionists, workflow automation and document processing for trades, clinics, logistics and professional services in Toronto, Vancouver, Calgary, Montreal and across Canada. Delivered remotely.

What we build for Canadian businesses

Canadian companies tend to come to us with the same few problems. The phone rings while the crew is on a roof in Calgary. A dental front desk in Toronto spends its morning on reminders and reschedules. A logistics office in Montreal retypes the same delivery paperwork every day. A professional services firm in Vancouver loses hours to intake emails and status updates. Three of our services cover most of it.

An AI receptionist for trades and clinics

An AI voice agent answers every inbound call, day or night. It handles the common questions (service areas, opening hours, what a visit involves), works out whether the caller is a real job or a real patient, books them into your calendar and hands anything urgent or unusual to a person. Every call is transcribed and logged. This is where plumbing, HVAC, electrical, roofing and cleaning companies feel it first, because a missed call usually means the customer rings the next name on the list. See our page on AI for home services for how it fits with dispatch, and AI for medical practices and clinics for dental, physio and multidisciplinary clinics. We have written a guide to the AI receptionist for home-services companies with a US focus; the pattern is the same in Canada, with Canadian rules in place of American ones.

Workflow automation for the admin in between

AI workflow automation takes the repeated steps a team does by hand every week and runs them on their own: new job or new client intake, quote follow-ups, appointment reminders, weekly reports, moving data from the booking system into the accounting system. Professional services firms (accountants, law offices, consultancies, property managers) and logistics companies get the most out of this, because their work is a long chain of small handoffs. Where the work spans several tools, our AI and systems integration service connects them so data moves without anyone copying it across.

Document processing for logistics and back offices

Document processing AI reads invoices, bills of lading, delivery notes, purchase orders and intake forms, pulls out the fields that matter, checks them and enters them into your systems, with a person reviewing anything the system is unsure about. For a logistics or distribution business this is often the biggest single block of hours. Our guide to automating invoice data entry walks through how the rollout works.

Client story · Kamai Elevators

Kamai Elevators, an elevator company working across four cities, had its leads landing in a WhatsApp group where they got lost. We replaced it with one lead pipeline: automatic intake from Meta forms and the website, one owner per lead, follow-up reminders that escalate to managers, a duplicate-quote check and in-app calling. Since go-live: 70% better operational efficiency, against a 30% target set by the founder. Kamai is not a Canadian business; the pattern is the same for any trade or service company juggling leads across branches.

The full story is on our WhatsApp lead management page and the Kamai Elevators case study.

How remote delivery works from India

Flange's team works from India, on India Standard Time (UTC+5:30). We don't have an office in Canada. Here is how the time difference plays out honestly:

  • Toronto, Ottawa and Montreal. Eastern Canada sits in the same time zone as the US East Coast. Your mornings are our evenings, so a call at the start of your working day overlaps the end of ours, and work we finish overnight is waiting for you when you sit down.
  • Calgary and Vancouver. The overlap is thinner. We book live calls early in your day and run the rest asynchronously: written updates, recorded walkthroughs and a clear list of what we need from you.

The engagement itself follows four steps:

  1. A free 30-minute discovery call. We look at how the work moves today and where it slows down.
  2. Agree the measure. Before we build, we agree the number that matters: calls answered, hours recovered, response time or leads worked. You get a scoped proposal, priced in CAD, with no obligation.
  3. Build around your tools. Most systems go live in 30 to 60 days, including integration, testing and onboarding your team over video.
  4. Measure and tune. Live reporting against the agreed number. You own the code and the data.

The work is led hands-on by our founder, Thoufic, with engineers who have built and shipped products at leading technology companies. There is no 24/7 human support desk; the AI systems run around the clock, and the people behind them work our hours. Our guide to working with a remote AI team across time zones covers this in more detail.

Language: English-first, French scoped on the first call

Our voice agents and assistants are built English-first, which covers most of Canada. Quebec is different. Under the Charter of the French language, as amended by Bill 96, businesses serving customers in Quebec are expected to offer French in customer-facing communication, and that can include a phone line or a chat assistant. If you operate in Quebec, raise it on the first call. We'll scope French for your use case and tell you plainly what is achievable rather than promise it up front.

Data protection in Canada

Most private-sector businesses fall under PIPEDA, the federal Personal Information Protection and Electronic Documents Act. The Office of the Privacy Commissioner keeps a plain summary of PIPEDA. Alberta and British Columbia have their own private-sector privacy acts. Quebec's Law 25 is stricter: it expects an assessment before personal information is sent outside the province and asks you to tell people when a decision about them is made purely by automated processing. Ontario clinics handling health records also work under PHIPA, the Personal Health Information Protection Act. If your system sends marketing emails or texts, CASL, Canada's anti-spam law, sets the consent rules.

Calls, chats and documents contain personal information, so we agree on the first call where data is stored, who can see transcripts and how long they are kept. Our clinic work covers operational tasks only, never clinical decisions. Take your own legal advice on what applies to you; we build to what you and your advisers decide.

The tools Canadian businesses already use

We connect to what you have rather than asking you to switch. In Canada that is often QuickBooks or Wave for accounts, Jobber (itself a Canadian company) for field service scheduling, HubSpot or Salesforce for the sales pipeline, RingCentral for phones and Jane App for clinics. If yours is something else, we'll check how it can be connected on the first call.

FAQ

Common questions

  • Does Flange have an office in Canada?

No. Flange delivers remotely from India. Discovery calls, build, testing and team onboarding all run online, for businesses in Toronto, Vancouver, Calgary, Montreal and the rest of Canada.

  • Can your AI receptionist answer calls in French for a Quebec business?

Our systems are built English-first. If you serve customers in Quebec and need French, tell us on the discovery call. We will scope it then and tell you plainly what is achievable for your use case before you commit to anything.

  • How do you handle PIPEDA and Quebec Law 25?

Calls, chats and documents contain personal information, so on the first call we agree where data is stored, who can see it and how long it is kept. If you operate in Quebec, Law 25 adds its own steps, including an assessment before personal information leaves the province. We build to what you and your advisers decide; take your own legal advice on what applies to you.

  • What time are calls with a team in India?

Eastern Canada mornings are Indian evenings, so calls early in a Toronto or Montreal working day line up with the end of ours. For Vancouver and Calgary we book calls early in your day and run the rest with written, asynchronous handoffs. We do not offer 24/7 human support; the AI systems themselves run around the clock.

  • Do you work with Jobber, QuickBooks and Jane App?

Yes, we connect to the tools you already use. Jobber, QuickBooks, Wave, HubSpot, Salesforce and RingCentral are common in Canada, and many clinics run on Jane App. Nothing gets ripped out.

  • How much does AI automation cost for a Canadian business?

Flange does not publish prices. Each project is scoped and priced in CAD after a free 30-minute discovery call, with no obligation. Cost depends mostly on how many systems it connects to, how messy the inputs are and how much needs human review.
